This Privacy Notice explains how Sendense Limited collects and uses personal data in connection with its website, customer portal, partner portal, business relationships, sales activities, marketing activities, support activities and online services.

Customer And Partner Data

Sendense may process limited personal data contained in customer or partner data where this is necessary for the operation of the customer portal, partner portal or associated support and account management functions.

Sendense's software product is intended to be installed by the customer on the customer's own network. Sendense does not back up customer data to storage infrastructure owned by Sendense unless separately agreed in writing.

Customer or partner data processed through the portals may include employee or business contact details for users who require portal access.

Payment And Billing Information

Sendense may process billing contact details and payment-related information where required for invoicing, payment collection, account administration and financial records. Where payment details are processed by a third-party payment provider, that provider may process payment information in accordance with its own terms and privacy notice.

4. How Sendense Collects Personal Data

Sendense may collect personal data:

  • directly from users when they complete forms, register for a portal, contact Sendense, request a demo, request support, subscribe to marketing or provide information during sales or onboarding
  • from customer or partner organisations that register, invite or manage users
  • from partners who register end-customer users as part of a deal registration or customer onboarding process

Sendense's legitimate interests include operating and securing its website and portals, providing customer and partner access, managing commercial relationships, preventing misuse, maintaining business records, improving services, promoting Sendense to business contacts, and protecting Sendense's legal and commercial interests.

6. Marketing

Sendense may send business-to-business marketing communications to existing customers, partners, prospective customers, prospective partners and other business contacts where permitted by law.

Sendense may rely on consent, legitimate interests or the soft opt-in rules depending on the type of marketing, the recipient, the relationship and the way the contact details were obtained.

Recipients can opt out of marketing communications at any time by using the unsubscribe link in the relevant message, where provided, or by contacting [email protected]. Sendense may keep suppression records to ensure that people who opt out are not contacted again for the same type of marketing.

Sendense may record sales calls, demos or support calls where this is notified to participants. Sendense may also use website or portal tools such as live chat, chatbots, AI assistants, session replay, heatmaps or analytics tools. Where these tools involve personal data, Sendense will use them in accordance with applicable data protection laws and, where required, cookie consent settings.

9. Suppliers And Processors

Sendense may share personal data with suppliers and processors that help Sendense operate its business, website, portals and services. These may include providers of:

Sendense currently uses Zoho as a business systems provider and may use other suppliers as its business develops. Sendense describes supplier categories in this Privacy Notice rather than naming all individual suppliers.

Sendense's systems are intended to be hosted in the UK and EU.

Sendense does not currently intend to transfer personal data outside the UK or EU, except where this is necessary because of a supplier, support arrangement, legal requirement or other business need. Where Sendense transfers personal data internationally, it will take steps designed to ensure that appropriate safeguards are in place where required by applicable data protection laws.
